Cancellation Policy
Our goal is to provide timely, high-quality care to all patients. If you need to cancel or reschedule, please notify us as soon as possible so we can offer the slot to another patient who needs care.
Fees and notice requirements
- Standard cancellation notice: If you need to cancel or reschedule, please contact the office at least 24 hours before your scheduled appointment.
- Same-day/within-24-hour cancellation: A fee of $50 will be charged for cancellations or rescheduling that occur within 24 hours of the appointment time.
- Emergency exceptions: Cancellations or rescheduling due to unforeseen emergencies (e.g., acute illness, severe weather, family emergency, or other urgent medical reasons as determined by the clinician) are exceptions to the fee. Documentation may be requested in some cases.
- No-show: If you do not attend your appointment and do not contact the office, the full service fee for the visit may apply, consistent with state laws and practice policy.
How the fee is collected
- The cancellation fee will be charged to the payment method on file or billed to the patient account as applicable.
- If the patient has an outstanding balance or payment plan, the cancellation fee may be applied to the account accordingly.
Notifying us
- How to cancel/reschedule: You may cancel or reschedule by calling or texting the office, using the online scheduling portal (if available), or sending a secure message through the patient portal.
- Confirmation: You will receive a confirmation of the new appointment time or the cancellation once the request is processed.
Special considerations
- Repeated cancellations or no-shows: Repeated failure to comply with the cancellation policy may result in temporary scheduling restrictions or discharge from the practice, at the clinician’s discretion.
- Late arrivals: If you arrive late, the appointment may be shortened or rescheduled to minimize disruption for other patients. Late arrival policies vary by practice and may impact the scheduled appointment duration.
- Telehealth vs in-person: The same cancellation policy applies to both telehealth and in-person appointments unless otherwise stated.
